How It Works
After you've entered a client or two, you will probably want to start logging hours. You can do it manually or by using the timer. The built-in timer can rapidly switch between clients and projects. This lets you accurately record the small amounts of time that most of us end up working during the day - working on one project when another client calls for a few minutes for example. If you are working on a fixed rate project, you can use the timer for your own tracking - to see how profitable this project is versus others.
The reports function lets you create a variety of reports that will help you run your programming / development business. For example, some of the reports will let you print a report of hours worked on a particular project, generate a complete statement of all client invoices and payments, and get an overall view of all your projects across all clients. BillingTracker also lets you export your data in many different ways. Not only can you export reports, but also pretty much any information that you see on any screen can be exported to standard file formats.
BillingTracker creates professional invoices automatically, based on the projects and time that you have entered. Choose from different formats, what information you want to include, and then either print them or save them to a PDF or html file that you can email or post. You have the choice to include a detailed log of your hours on the invoice if your client wants it. The program offers a bunch of invoice templates and customization options to ensure that the invoice you send looks exactly the way you want it to. You can even design your own invoice templates in html, using a list of tokens and some samples that you can download from our Web site (see the Invoice Templates page).
If you are working with others, each user's hours can be detailed in reports to the client, along with hourly rates if you choose. There is even a report that lets you view the number of billable versus unbillable hours a given user has logged. For multiple users, BillingTracker Pro works in client-server mode so scaling up your company won't bog down the system. There are even permission levels that you can assign to each user.
BillingTracker Pro features an easy way to track expenses. You can enter any expense - hotel, supplies, mileage, or whatever - and decide if that expense should be attributed to a particular client and/or project. If you do link the expense to a given project, then it will automatically show up in the invoice.
If your invoices tend to be simple, and don't require a lot of review, then you can take advantage of the batch billing feature. It will automatically generate invoices for all outstanding work for all clients. It can even automatically email them as PDF attachments.
Once the invoice has been sent, BillingTracker starts counting the days until you get paid. It will alert if you the client does not pay on time, and keep an updated chart of who owes you what.
