Accounting Software for Small Business

Whatever type of professional business you run, you will need to create and view various reports. BillingTracker Pro makes the job easy, so you can always see the state of your firm’s finances, the hours you’ve worked, expenses to pay, etc. The ‘Main Reports’ screen lets you choose which report you want to run, and then choose the various filters that are appropriate to that report.

The first filter is of course the date range. What dates do you want to include in this report? Further filters let you choose the client, project, payment status, vendor, and user (if you are working in multi-user mode). Not all filters work with all reports – it doesn’t make sense to have a filter for payment status when you are running the detailed projects report, since they aren’t related. All reports can be printed or exported to common formats like PDF, RTF (which can be opened by word processors), and even HTML (allowing you to post a report on the Web if you want).

There are nine basic reports that you can generate. The first report on the list is the Detailed Project Hours Report. This report displays a list and description of all the time entries from the ‘Daily Work – Log Hours’ screen. You can filter by client, project, date, and user. This report lists the total hours worked and the rate for each time entry.

The second report is the Summary of Projects Report. This report lets you filter by client and date range, and then displays a list of the projects that you are working on. It also shows the hourly rate that you chose for that project and the total number of hours that you’ve actually logged on it – including a total at the end of the report.

The third report, the Detailed Cash Flow Report, lets you filter by date range and either an individual client or all your clients. This report displays all the expenses you’ve paid and the payments you’ve received during a certain period. It includes a description of each expense and payment with totals at the end of the report. Many professional firms and businesses rely on a steady cash flow to keep going – this report will help you keep a balance between cash inflows and outflows.

Use the Unpaid Expenses Report to get a quick view of what expenses you have not paid yet. Some of these expenses might have been incurred for your clients and some for your business (e.g. office supplies). You can filter the report by date range, client and project, vendor, payment method (cash, credit card, etc.), and you can even filter by user if you are working in multi-user mode. This report will help you plan your cash flows and help you ensure that you don’t miss any expenses.

The ‘Expense Report’ gives a wider view. It displays expenses that are paid, unpaid and partially paid. You can filter by client, project and user.
Use the ‘Accounts Receivable Report’ to show a list of all the money that is outstanding and due to be paid. You can filter by date, client, invoice due date, and payment status. The payment status filter is very useful, for example, you can use it to drill down to see which clients are paying late. The report will also show, in the payment status column, how late a given payment is. You can also use the report to see all the payments that have been made in full.

The ‘Billable vs. Unbillable Hours Report’ will show you the number of hours worked that you actually bill for, versus those that you are not billing. The report lists the number of hours and the percentages and can be filtered by date, client, project, and user.

The ‘Actual vs Marked Up Expenses Report’ displays a list of expenses and the mark up – the profit that you took for each one. If you are reselling physical goods, and not just selling your time, than you may want to make a profit on the cost of those goods. BillingTracker Pro lets you mark up your expenses to reflect whatever overhead or profit you want. This report – which lets you filter by date, client, project, vendor, and payment method – provides a complete description of the item (the expense) as well as its cost, your markup, the customer’s price, and any taxes that are added on. This report gives you a quick view on how much money you are actually making on the resale of goods.

Lastly, the ‘Statement Report’ lets you show your clients exactly where they stand regarding all the invoices you’ve sent and the payments they’ve sent to you. The ‘Statement Report’ summarizes all invoices and payments for a given client and a given date range, with totals at the end of the report. You can also filter by payment status, if you wish to show your client just a portion of the information.
